Time Spent in Office Visits

The hours and minutes that students spend during office visits for different types of health issues can be found on this report.To get there:

1. From the PowerSchool start page, click Extended Reports under the Functions heading on the left side.
2. Click the Health tab.
3. Click on Time Spent In Office Visits under the Office Visits heading.

There are three sections to the page:

• The Report Controls filters the data found on the report.
• The middle of the page is a list of office visit records that are excluded from the time calculation due to errors in the visit time-in or time-out.
  • If there are no errors, this section will not appear on the page.
  • Click the blue Student ID to go directly to a student’s office visit page to update any records with errors.
• At the bottom of the page is the actual time reporting.

Running the report:

1. Update controls as appropriate:
   1. Student ID-Enter a student ID and only that student’s time in the office will be display on the report.
   2. IEP Students drop down-Filter the report on IEP or Non-IEP
   3. Visit Type drop down-Filter the report to only a specific Visit Type
   4. Visit Outcome drop down-Filter the report to only a specific Visit Outcome
   5. Start Date & End Date-Filter the report to a specific time frame
2. Click the Update Report button.

Reading the Report:

The report provides the total time that students spent in the nurses office based on the selected controls as well as a break-down of the average time spent per office visit of that type and the average time that each student spent in the office over multiple visits if applicable.

Example-Time from IEP Students:

Using an example data set we know:

• Nurses spent 76 hours and 21 minutes on office visits for students with IEPs
• The average length of an IEP office visit was 32 minutes.
• The average IEP patient will spend 1 hour and 13 minutes in the office for the year.
• The average IEP student in the enitre school can be expected to spend 19 minutes in the office.

Example-Time from Orthopedic Office Visits:

Using an example data set we know:

• Nurses spent 31 hours and 14 minutes on orthepedic office visits.
• The average orthopedic visit was 16 minutes.
• The average orthopedic patient will spend 24 minutes across all of his/her orthopedic visits.
• The average student in the enitre school can be expected to spend 0.8 minutes in orthopedic visits.
