Updating a Sub to a Retired Sub

If we know a sub is a retiree at the hire process, follow the Adding a Sub instructions with these changes:

  • In step 3d, choose the Filter = “Retired Subs”
  • In steps 4bi and 4ci, choose the Pay Type = SUBER

If we initially hired the person as a regular sub and are changing them to a retired sub, take these steps:

  1. Add a retired sub Assignment
    1. Go to Employee Profile > Position > Assignments
    2. Click Add Assignment
    3. Make sure the Fitler says “Retired Subs”
    4. Click Select Position (You can pick any open position.  They are all the same)
    5. If this is the primary role the employee is performing, check off the EEOC Primary box at the bottom of the page.
    6. Click Next
    7. If this is the primary role the employee is performing, check off the Primary box under the dates.
    8. Click Save
  2. Reconfigure their Sub Pay Scales
    1. Go to Employee Profile > Substitute Tracking > Substitute Pay Scales
    2. Click the arrow in a circle button () to open their AFS10 pay scale
      1. In the Assignment Pay Type drop-down change this to SUBER.
      2. Click Save
    3. Click the arrow in a circle button () to open their TEACH pay scale
      1. In the Assignment Pay Type drop-down change this to SUBER.
      2. Click Save
  3. Remove or end the old Assignments
    1. Go to Employee Profile > Position > Assignments
    2. If the substitute has not subbed for us yet this year take these steps:
      1. Click the down arrow () next to their L Substitute assignment
        • Click Yes, Delete
      2. Click the down arrow () next to their S Substitute assignment
        • Click Yes, Delete
    3. If the Substitute has already subbed for us follow these steps:
      1. Highlight  their L Substitute assignment
      2. In the bottom-right box labeled Assignment Details, click the arrow in a circle button () to open the record.
      3. Change the End Date and click Save to make the assignment no longer an active assignment.
      4. Highlight  their S Substitute assignment
      5. In the bottom-right box labeled Assignment Details, click the arrow in a circle button () to open the record.
    4. Change the End Date and click Save to make the assignment no longer an active assignment.
