Adding Substitutes

  1. If the person does not exist in Skyward, create the employee.
  2. If the employee does not have a start date OR they have an end date, go to Employee Profile > General > Employment
    1. Click Add Employment, complete the page and click Save
  3. Add Assignments.  If the employee will be subbing for both teachers and aides, they will need two assignments.
    1. Go to Employee Profile > Position > Assignments
    2. Click Add Assignment
    3. Make sure the Fitler says “Licensed Subs” or “Non-licensed Subs” depending on what you are looking for.
    4. Click Select Position (You can pick any open position.  They are all the same)
    5. If this is the primary role the employee is performing, check off the EEOC Primary box at the bottom of the page.
    6. Click Next
    7. If this is the primary role the employee is performing, check off the Primary box under the dates
    8. Click Save
  4. Configure the Sub Pay Scales
    1. Go to Employee Profile > Substitute Tracking > Substitute Pay Scales
    2. Click the AddSubstitute Pay Scale button near the upper-right
      1. Choose SUBEA from Assignment Pay Type (Unless being hired as a retired sub; then choose SUBER)
      2. Choose AFS10 from Pay Scale
      3. Choose the Pay Scale Class appropriate for the employee (years subbing)
      4. Click Save
    3. Click the AddSubstitute Pay Scale button near the upper-right
      1. Choose SUBEX from Assignment Pay Type (Unless being hired as a retired sub; then choose SUBER)
      2. Choose TEACH from Pay Scale
      3. Choose the Pay Scale Class appropriate for the employee (years subbing)
      4. The Start and End Dates can be left defaulted
      5. Click Save
